Privacy Policy

Effective November 1, 2026

This explains what BookCollie ("BookCollie", "we") does with personal information: of the businesses that use BookCollie and their team members, and of the renters who book with those businesses.

Renters

When you book on a business's booking site, that business decides what to collect and why; BookCollie stores and processes it for them. That's usually your name, email, phone, the details the business asks for (such as a driver's license or tow vehicle), your bookings, payments and signed contracts. Card details go straight to Stripe and never touch our servers.

To see, correct, export or delete your information, contact the business you booked with: they can do it from their dashboard. If you can't reach them, email us at support@bookcollie.com.

Businesses and team members

We collect your name, email, password (stored hashed), business details and how you use the service, to run your account, support you, keep the service secure and bill you if you're on a paid plan.

Visitors to our website

If you ask us to email you a free template or checklist, we keep your email address, what you asked for and the page you were on, only to send it. You can ask us to delete your address at any time. When you sign up from our website, we note which page you came from.

How information is used

  • To run bookings, payments, contracts, emails and reminders for the business.
  • To keep the service secure, prevent fraud and fix problems.
  • To meet legal obligations.

We don't sell personal information or use renters' information for our own marketing.

Who we share it with

Only service providers that help run BookCollie, under agreements to protect it:

  • Amazon Web Services: hosting, database and file storage (United States).
  • Stripe: card payments, on the business's own Stripe account.
  • Mailgun: sending email.
  • Sentry: error reports, to find and fix bugs.
  • OpenAI: only when a business uses the AI drafting tools, for the text or photos they choose to send (not stored by OpenAI for training).

We may also share information when the law requires it.

How long we keep it

For as long as the business keeps its account, or as needed for legal, tax and accounting records. A business can erase a renter's personal details on request; the booking records stay without them.

Your rights

Depending on where you live (for example, California), you may have the right to know what we hold about you, to get a copy, to correct it and to have it deleted. Renters should ask the business they booked with first; anyone can also email us.

Security

Data is encrypted in transit, access is limited to the business's own team, and each business's data is kept apart from every other's.

Changes

If we change this policy in a way that matters, we'll update the date above and tell businesses before it takes effect.
